POSITION SUMMARY

 

Provides administrative and project support to the Office of Special Events under the direction of the Special Events Program Manager in conjunction with Parks Administration. Serves as a primary office support and public contact for assigned areas. Assists Program Coordinators in coordinating services for City based events. Maintains records, processes payments and deposits utilizing accounting and other financial systems and software (i.e. J.D.E., Microsoft, Excel, Access, etc.). This position is responsible for administrative and human resources functions within the Parks and Recreation department, including but not limited to payroll, accounting, budgeting, and payment processing, purchasing, and contracting.

POSITION DUTIES

 

  • Monitors and oversees Trust Fund expenditures and revenues; evaluates and investigates unusual discrepancies and submits adjusting entries as necessary.
  • Assists Parks Administration team with human resources and payroll functions.
  • Takes minutes at meetings.
  • Assists with the entry of bi-weekly payroll for the department using the City's Ceridian Payroll program.
  • Acts as a liaison to Parks and Recreation personnel and outside agencies, as requested by manager.
  • Files the necessary paperwork for the administrative office which includes letters, personnel information, etc.
  • Responds to concerns from the general public via in-person engagements, phone calls and/or email.
  • Provides clerical support for the Citiparks Office of Special Events.
  • Handles phone and written correspondence. (Postal mail and e-mail).
  • Performs a variety of record keeping tasks for City, state and federally funded programs, as assigned.
  • Works nights and weekends providing on-site event support as needed.
  • Performs other related tasks and duties as assigned or required.
