The City of Oxnard’s Fire Department is seeking an individual who is result-oriented, possesses a great attitude, demonstrates creativity and innovation, works efficiently, shows a record of success and has a PASSION for public service. Having the best employees provides the best service to the community.  This is a part-time internship position. The work schedule is to be determined and is flexible.


WHAT YOU’LL DO:

  • Perform clerical tasks which may include: sorting, routing, scanning and/or filing documents, mail, forms or correspondence; preparing, organizing and distributing forms and routine correspondence.

  • Provide reception and customer service by answering and prioritizing calls, providing information and services related to CUPA; responds to inquiries, complaints and requests for information; assists with forms; takes messages; and refers customers to appropriate resources.

  • Review, verify and/or enter data and information; run reports; track and maintain activity logs..

PAYROLL TITLE: Administrative Services Technician

CLASSIFICATION SUMMARY:

This class is the first level in a nine-level Administrative Services series devoted to providing management analysis and oversight; program marketing, outreach and education; fiscal analysis and oversight; and administrative/clerical/customer service support to programs, projects, executive staff and elected officials. Incumbents perform standardized work following prescribed procedures and instructions. As the assigned work may involve clerical tasks such as sorting, routing, filing, reception, processing, typing, cashiering, customer service, proofing and/or data entry.

DISTINGUISHING CHARACTERISTICS:

This classification is distinguished from the Administrative Services Technician, Senior in that it performs routine clerical support and customer service duties.

SUPERVISION RECEIVED/SUPERVISION EXERCISED:

Receives close supervision and specific direction regarding assignments and deadlines.

WORK SCHEDULE: These positions work various schedules and at various locations throughout the City of Oxnard. These positions may be required to be available to work additional hours as needed to respond to workload needs. These positions are not governed by the overtime provisions of the federal Fair Labor Standards Act and are eligible for overtime pay.

PLEASE NOTE:
Extra-Help positions are NOT expected to last more than 960 hours per fiscal year. Under the terms of the City's benefits plan and policies, this position is NOT eligible for benefits due to the short duration of employment. In this position, employment with the City of Oxnard is at will and those selected for temporary placement retain the option, as does the City of Oxnard, to end employment at any time, with or without notice and with or without cause.

 

Essential Functions

 

(This class specification represents only the core areas of responsibilities; specific position assignments will vary depending on the needs of the Department.)

Performs clerical tasks which may include: sorting, routing, scanning and/or filing documents, mail, forms or correspondence; preparing, organizing and distributing forms and routine correspondence.

Provides reception and customer service by answering and prioritizing calls, greeting customers and providing information and services related to assigned area; responds to inquiries, complaints and requests for information; assists with forms; takes messages; and refers customers to appropriate resource.

Reviews, verifies and/or enters data and information; runs reports; tracks and maintains activity logs; may accept and process payments and transactions, handle cash and make change, enter appropriate payment codes, and/or total and reconcile receipts.

Organizes and maintains files, records and documents according to records retention procedures; monitors supply levels and initiates supply orders; maintains and organizes supplies.

Performs other duties of a similar nature and level as assigned.

POSITION SPECIFIC RESPONSIBILITIES MIGHT INCLUDE:

Positions assigned to CUPA support may be responsible for:

  • Updating documents and reference materials;

  • Input training documentation;

  • Exploring available technologies to update complaint workflows, inventory tracking, inspection management; 

  • Assist in developing an updated CUPA webpage; 

  • Assist facilities with general questions related to their California Environmental Reporting System (CERS) submittal;

  • Other duties as assigned

Minimum Qualifications

 

The following are the minimum qualifications necessary for entry into the classification: 

EDUCATION:

  • High School Diploma or GED

EXPERIENCE:

  • One (1) year of related experience

LICENSING/CERTIFICATIONS:

  • None required

OTHER REQUIREMENTS: 
  • Must be able to speak and understand English to effectively communicate with fellow employees, customers, and vendors

  • Employees are required to participate in the City’s direct deposit plan and are paid on a bi-weekly basis. 
  • City staff may be required to play an active role in the event of an emergency, which may include changes in responsibilities and working hours.
