Summary:<br />
<br />
The archivist develops, coordinates, and oversees the operation of the Children's Medical Center Archives Center and all associated programming. Works with senior administrators, department directors/managers, medical/dental staff members, employees, researchers, and other interested parties to identify, appraise and exclusively preserve non-clinical, non-active records, documents, and materials that are of enduring historical, administrative, legal, and fiscal value to the organization. Collects, organizes, preserves, and makes available those materials and artifacts to various interested parties as appropriate.<br />

Plans, coordinates, and distributes communications related to the services of the Children's Archives Center to appropriate audiences and serves in a pivotal role in special events and publications related to organizational historical content.<br />

Responsibilities:<br />
• Identify, appraise, and preserve non-clinical, non-active documents, records and materials that are of enduring historical, administrative, legal, and fiscal value to the organization (30,000+ documents/materials at inception and growing).<br />
• Oversee the data migration of existing materials as appropriate to ensure the continued preservation and accessibility of the Archive Center’s Collections (image file processing, documents, and ephemera) to accurately promote the history, legacy, knowledge and understanding of the origins, programs, and goals of the organization.<br />
• Responsible for the collection and retention (cataloging, scanning and transfer to HIM) of all current legally executed Patient Image Authorization and Consent Forms. Processes, preserves, and maintains all CHST Media Image Authorization in Bynder CMS. Update initial patient metadata and coordinate with HIM to secure inclusion in proper patient medical record. Regularly update appropriate staff on patient status and tag individual consents appropriately.<br />
• Facilitate and support individual departmental/divisional retention and preservation activities to ensure materials are properly identified and transferred to the custody of the Archives Center or preserved locally in accordance with records management best practices.<br />
• Responsible for MarCom creative digital asset management (DAM) platform and process, including the development of metadata entry protocol. Work with various stakeholders across the MarCom department to define metadata and taxonomy guidelines. Actively promote data consistency to support common standards and analytics.<br />

• Works with Volunteer Services to supervise all temporary volunteers in the AC.<br />
• Oversees Archives graduate program interns, plans each internship experience in collaboration with the students’ supervising faculty.<br />
• Serve as primary point of contact for staff, community historians and other external organizations’ research questions. Provide timely and effective reference support to departments in keeping with the organizational mission, values, and operations.<br />
• Work with application vendor to maintain and update the system(s) by which archival materials are managed, organized and made accessible to users. This includes making archival collections available through the Archives Center SharePoint site (and any other potential online collection exhibit media) in electronic or hard copy as appropriate.<br />
• Author or collaborate in authoring institutional histories as required and assist in planning historical celebratory events as needed.<br />
• Develop and implement yearly budget. Develop and review applicable policies and procedures related to the Archives Center; maintain responsibility for all administrative aspects of the Center including purchase of archival supplies, and space design allocation.<br />
<br />
WORK EXPERIENCE<br />
• At least 5 years experience in an archive or library setting Required<br />
• At least 3 years experience in project management, technology-related implementations and/or strategic planning roles Preferred<br />
• At least 3 years experience managing an enterprise content management or digital asset management system for a large client or company Preferred<br />
<br />
EDUCATION<br />
• Graduate or professional work or advanced degree; or equivalent experience MA or MLIS degree - Archival Study Concentration Required<br />
<br />
LICENSES AND CERTIFICATIONS<br />
• Certified Archivist (CA) Preferred<br />
